Work directly from your inbox, part 2!

 Just released: dynamic email notifications!

VOGSY's newest update allows you to complete many of your VOGSY workflows, such as quote acceptance or draft invoice approval, without leaving Gmail.

Lets take the draft invoice approval workflow as an example. When VOGSY generates a draft invoice, a dynamic email notification is sent to the project manager's Gmail account. This email contains the same notification card that is added to the project manager's feed. 

The manager can approve or reject the draft invoice right from the dynamic email, without having to return to VOGSY. The project manager can also view the draft invoice in Google Drive, or view the project for which the invoice was generated. 

Dynamic email notifications are similar to feed notifications and browser notifications in that they can be turned on or off for a wide range of VOGSY events. By default this option is on for events that require your action (Note: These events also appear in your Actions view.), so if you prefer not to receive dynamic email notifications, be sure to go to the Settings page and set these events to.


Also, if we return to the draft invoice approval scenario mentioned earlier, if the project manager doesn't want to receive email notifications when draft invoices are generated, they can click the Stop my email notification for this event button located at the bottom of the email.

One last thing! If you have your Gmail inbox set up to display the Updates tab, VOGSY email notifications will appear there.


If your inbox is not set up to display the Updates tab, VOGSY email notifications will appear under the Primary tab.


The first time that Gmail receives a VOGSY email notification it might put it in the Spam folder, so if you are expecting an email but can't find it, check there. If you find it, be sure to click the Not spam button at the top of the email, and the email notification will be moved to the Updates tab or the Primary tab, depending on how you have your inbox configured.

The documentation has gotten a face-lift!

Not only does the documentation have a new look, but we have updated several topics that we consider vital to your success. We also added new information. Our goal is to make VOGSY easier to use by delivering insightful and thorough documentation.

TIP:  If you have bookmarks to our old website then you can do the following to update them, assuming you are using Chrome:
  1. Right-click the bookmark and select Edit.

  2. In the URL field, replace https://support.vogsy.io/manual/1/en/topic/ and add .html to the end of the URL.

    For example, https://support.vogsy.io/manual/1/en/topic/charts becomes https://support.vogsy.io/docs/userguide/charts.html.

    Note that the URL for the landing page differs a bit from the above pattern: https://support.vogsy.io/docs/index.html.

  3. Click Save.

We’d like to share with you our latest VOGSY extension to G Suite: the VOGSY Gmail add-on.


Notifying your project team members about the content of an email you receive from a customer can be challenging: The VOGSY Gmail add-on removes the need for email bombs and can make it easier for you or one of your team members to follow up with the customer.



With this add-on installed, as soon as you open an email, key project and client information will display in the add-on panel. You can log the email, and create a task as a follow-up.

This is how it works:



To learn how to install and use the add-on, see Use the VOGSY G Suite add-on in the user guide. We recommend that you do a domain-wide installation, that way everyone in your company will have access to the add-on without having to install it themselves.

Improved ‘Planning Projects’

VOGSY has deployed a change in Planning Projects that released a fix for the following:

Planning Projects and Planning Resources were not showing the same information for the current and previous weeks:

‘Planning Resources’ is showing timesheet data for current and previous weeks and ‘Planning Projects’ was showing planned hours. When time was tracked differently than what was planned, there was a discrepancy in hours shown in these planning views.

The issue has been solved  by improving ‘Planning Projects’ so this view is now showing the tracked hours for current and previous weeks, in addition to future planned hours

There are two things you should know about this change:

Change in ‘Planning Projects’ permissions

Since the current and previous weeks are showing timesheet data, the permissions of ‘Timesheets’ are applied when changing the hours of these weeks.

You can change hours in the current week or previous weeks when:
  • The hours are your own 
  • The setting ‘Lock time entries’ allows you to
  • If you have access to the back office (you are assigned the role ‘Support Staff), you can always change hours.
The permissions for changing future weeks are unchanged.

Changed column in reports

VOGSY offers a set of Google Sheet Reports that allow you to import VOGSY data in Google Sheets, so you can build your own reports using Google Sheets.
Due to the Planning Projects change, we’ve renamed a column in the back office Reports ‘Deliverables’ and 'Projects’. The column, formally named ‘Hours in Draft Until Today’ is now titled ‘Hours in Draft’. To update these columns, you will need to access and refresh these reports in the back office. To refresh the report, select ‘Add-On’s from the Google Sheet top bar, then select VOGSY - refresh report.
