VOGSY has price lists!

Are you struggling to manage customer-specific or region-specific pricing in VOGSY? With our latest release, we’ve made it easier than ever.

You can now create price lists in the back office and assign them to individual customers. The sales rates from these price lists will be automatically applied when setting up projects for the applicable customer.

How does it work?

It’s simple! First, set up price lists in the back office using the 'Price Lists' feature. Once your price lists are configured, you can associate them with one or more customers by editing the customer and selecting the appropriate price list in the customer form. When an activity is calculated for a project linked to a customer with an assigned price list, the sales rate from that price list will be used as the default.

Good to know:

  • Price lists include activity sales rates for specific periods. You can easily extend a period using the ‘Extend Period’ button, with the option to index rates using the ‘Index Rates’ button.
  • Sales rates from a price list can still be overridden in the activity's calculation line.
  • Changes to price lists won’t affect existing sales rates in project calculations; they only apply to new calculations.
  • When duplicating a deliverable, the price list will determine the sales rates for the new deliverable based on its start date.

We've also improved time & material invoicing. Now, if a project’s invoice is issued in a different currency, you can assign sales rates for the calculated activities in the invoice's currency (1), ensuring accurate and consistent billing. Additionally, VOGSY displays the sales rate amount in the base or local currency (2) for a comprehensive overview.

Opportunity bookings are here!

Managing opportunities effectively is a cornerstone of a successful Quote to Cash cycle. That's why we're excited to introduce our new feature: opportunity bookings.

Bookings offer a straightforward solution to the challenging task of resource allocation. They provide a clear overview of resource demands for each opportunity, simplifying the process from lead to project.

Here's how it works: bookings involve two simple phases. First, you define potential activities and resource needs, called demand lines. Then, as opportunities progress, you fill these demand lines with the right resources.

So, why are bookings such a big deal? They give sales and account managers, and others, valuable insights into future resource requirements, helping them plan ahead and make informed decisions. With bookings, you can easily spot resource gaps, predict workforce needs, and identify skill shortages early on.

What's more, bookings streamline future project planning by setting up project conditions in advance. By accurately forecasting resource needs, bookings help you minimize bench time and make the most of your workforce, leading to better financial outcomes for your company.

Stay ahead of the game with VOGSY and bookings – your key to efficient operations and project success.

Release notes for March through May 2024

Hey there, VOGSY users! We're excited to share with you some of the new features and enhancements that we've been working on for the past couple months. These updates are designed to make your work easier, faster and more enjoyable. Here are the complete list of improvements:

  • You can extend any existing project from an opportunity, even if it wasn't initially associated with the organization of the won opportunity.
  • When generating planned hours on the Resource planning page, you can now let VOGSY determine the finish date of the activity based on the remaining hours and the availability of the resource.
  • You can now change the sorting order of the deliverables visible in both the project view and on the invoice.
  • We have added new filters to the following billability charts:
  • The actual sales amount of a fixed price deliverable is now calculated using the fixed price amount of the deliverable.
  • When the cost rate of an employee changes, the new cost rate is now used for forecasting future costs, which are determined by the employee’s planned hours. The new rate also affects the margin forecast of the related project(s).
  • You can now configure how many people must approve an expense.
  • It is now possible to sync the expected start and expected finish dates of an opportunity to HubSpot or Zoho, if you add custom fields to HubSpot/Zoho with the correct field names.
  • You can now pin custom charts to boards that you can be share with your coworkers.
  • You can now filter the Expenses report to display data for a specific date period.
  • There is now an expenses section on a deliverable’s Budget drill-down panel that displays additional details about the expenses that are associated with the deliverable.
  • You can now override an employee’s default holiday schedule, which is based on his department, and switch it to any holiday schedule that is available on the Holidays settings page.
  • Projects now display Calculated, Actual, and Forecasted totals on the Margins drill-down panel, as well as the average sales rate and the average cost rate.
  • You can now archive expense types that you no longer use. They will not be deleted and can be restored later, if you choose.
  • When approved hours are added to a draft invoice, you can now adjust those hours by excluding all of them, or designating a portion of the hours to be carried over to the next invoice.
  • It is now possible to configure whether the XML file should be included when emailing a customer a PDF invoice.

We're improving the resource planning!

VOGSY's development team is actively enhancing the resource planning feature, enabling users to allocate resources to opportunities without the necessity of creating a project.

In anticipation of these changes, the colors of the drill-down have already been updated:

Lines marked with "1" represent planned hours on a confirmed project, while those marked with "2" indicate soft bookings. Soft bookings represents hours planned on a project that is not yet confirmed and is associated to a pending opportunity.

Keep an eye out for the release notes, as we will soon unveil the remaining enhancements related to opportunity planning!
